Job Description
RESPEC seeks an Administrative Assistant to join our Rapid City, SD, team. If you enjoy working as part of a team in a fast-paced, dynamic environment, consider growing your career with us! This is a full-time, Monday - Friday on-site/office-based position.
The Administrative Assistant plays a vital role in ensuring the smooth day-to-day operations of the office. This position supports both general office functions and executive leadership needs by managing complex calendars, coordinating meetings and travel, preparing correspondence and reports, and serving as a key point of contact for internal and external stakeholders. The role requires exceptional organizational, communication, and discretion skills to prioritize competing demands, anticipating needs, and maintain efficiency. In addition, the Administrative Assistant contributes to creating a professional, welcoming environment while upholding confidentiality and supporting the overall effectiveness of the leadership team.
Responsibilities:
Office operations:
- Maintain inventory of office supplies and ensure timely replenishment
- Coordinate shipping and receiving packages
- Manage catering arrangements for meetings and events
- Organize snacks and refreshments for employees
- Assist in planning and executing employee events and celebrations
Executive support:
- Schedule appointments and manage calendars for executive leaders
- Arrange travel accommodations and itineraries
- Draft and manage communications on behalf of executives
- Prepare and process expense reports accurately and promptly
Front Desk & Communications:
- Greet and assist guests upon arrival, ensuring a professional and friendly experience
- Answer and direct calls on the corporate phone line
- Serve as the first point of contact for general inquiries
General Administrative Support:
- Provide assistance with all office-related functions typical of an office administrator
- Collaborate with internal teams to support organizational needs
Qualifications
- High school diploma required; associate’s or bachelor’s degree preferred
- Proven experience in administrative or office support roles
- Minimum 5 years of experience of administrative support
- Proficiency in Microsoft Office Suite and other relevant tools
- Strong organizational and multitasking skills
- Excellent verbal and written communication abilities
- Ability to maintain confidentiality and handle sensitive information
- Must possess a valid driver's license and maintain a clean driving record; position requires operating a company or personal vehicle during work hours for business-related travel.
Additional Information
Compensation: Salary depends on experience and expertise. Compensation includes a comprehensive fringe-benefits package. RESPEC is a 100% employee-owned company and employees are eligible for participation in the Employee Stock Ownership Plan (ESOP) after a qualifying period.
